Room Upgrade

The Booking Is Closed. The Revenue Isn't.

The guest already chose the destination, already chose you, already chose the dates. There's no click to buy, no commission to pay, no auction to enter — every cost of winning that booking is behind you. Room Upgrade works the space that's left: it finds the guests whose stay could be worth more, offers them the room you haven't sold yet, and if they say yes it rewrites the reservation for you.

Timing

An Upgrade at the Desk Is a Gift. The Same Upgrade Sold Early Is a Room Sold Twice.

Every hotel upgrades guests. It usually happens at check-in, if somebody at the desk remembers and has a minute — and by then the room the guest is leaving can't be sold to anybody else, because that night has already started. The upgrade costs you the difference and earns you nothing.

Move that same conversation a few days earlier and both rooms are still sellable. That is the entire idea.

The Rules Are Yours

It Offers What's Worth Offering. To the Guests Worth Offering It To.

This isn't a campaign that goes out to a list. Every offer is built for one reservation, and it only exists if three things line up at the same time.

What they booked

The room they're arriving to.

The starting room decides which upgrade makes sense — and whether one makes sense at all. A guest already in your best room isn't offered anything, which is the difference between a targeted offer and a mailing list.

What's still unsold

Live inventory, not a guess.

The offer is built against what you actually have left. You never offer a room you've already sold, and you never discount one you're about to sell at full price to somebody else.

The rules you set

Your constraints, your timing.

Which upgrades are allowed, under what conditions, and how far ahead of the stay the offer goes out — all of it configurable. The module is switched on and shaped to how you sell, not the other way round.

And you can attach a discount to the upgrade, so the guest is choosing between their room and a better one at a price you decided — not at rack rate.

On Acceptance

They Say Yes. Two Rooms Change Hands.

This is the part an email tool cannot do, and the reason this module lives inside the booking engine rather than beside it. When the guest accepts, nothing lands in an inbox for somebody to process. The reservation is modified automatically: the better room is locked to their booking, and the room they left goes back on sale. One guest accepting an upgrade puts a room back into your availability — the same night, at whatever price the market will pay for it now.

  • The reservation is rewritten, not annotated

No task for the front office, no note to action at check-in, no second system to update. The booking that exists after they accept is the upgraded one.

  • The room they left is available again immediately

It doesn't sit blocked while somebody confirms. That's the half of the transaction that makes an early upgrade worth more than a late one.

  • The guest sees what they're buying before they buy it

The features of the room and the exact change in price, on their own reservation. No enquiry, no waiting for a reply, no negotiation at the desk.

  • An external tool can send the email. It can't do the rest

Not because it's badly built — because it has no inventory. It can't know which upgrade is available, it can't lock the new room, and it certainly can't put the old one back on sale.

Where It Lives

The Email Announces It. The Product Holds It.

Most upgrade programs are an email, which means they work exactly as well as that email performs. This one is the other way round: the upgrade is a live offer sitting on the guest's own reservation, and the email is just how they find out it's there.

  • They don't have to click the email

A guest who signs in to their personal area finds the upgrade waiting, whether they opened the message or not. Deleted it, missed it, filed it — the offer is still there.

  • It's on their reservation, not on a landing page

They see the room, its features and what the change costs, next to the booking it applies to.

  • And nobody is locked out of it

Guests reach their personal area with a password, with the Google or Facebook account they booked with, or with just a booking number and an email address — so an upgrade never depends on the guest having created an account.

Two Bookings, Two Ways to Make Them Worth More.

This module works on a booking you already have. These pages work on the ones you almost had, and on everything a guest can do once they're yours.

  • Booking Recovery

The mirror image: one email, one guest, and a cart rebuilt against live inventory — except the booking was never closed.

  • Guest Area

Where the upgrade lives, and everything else a guest can handle without calling you.

  • Mini Shop

Sell the services around the stay, before the guest arrives and after they've booked.
